Tracking orders in WhatsApp: where it works and where it breaks

Many sign shops run their orders in WhatsApp groups: the artwork goes into the group, the workshop replies “OK”, the install crew posts the photo there. With a few jobs that works; as jobs and people grow, files get lost in the chat, approvals cannot be proven and nobody can see which job is late.

Why WhatsApp is everywhere

It is on every phone, needs no training and arrives instantly. Your customers are there too; a photo, a measurement or a “can we come tomorrow?” is quickest asked there. So we are not telling you to drop it: keep using it to talk to customers and ask quick questions.

The problem is using it as the record of the order. A chat is a stream of conversation; it was not built to hold which stage a job is in, which file is the final one and when it is due.

What happens when orders live in a chat

  • Files get lost: the final artwork is buried among hundreds of messages, on someone's phone. Photos may be compressed, so the original has to be asked for again.
  • Approvals cannot be proven: when the customer writes “fine”, it is unclear which file they meant; a voice note never makes it into any record.
  • Due dates are invisible: finding what is due this week or already late means scrolling back through the chat.
  • It depends on personal phones: when someone leaves or changes phones, that job's messages and photos go with them.
  • Everyone sees everything: the bigger the group, the more people see prices, customer details and job details.
  • Nobody knows who did what: when a job comes out wrong, there is nothing to look at but memories.

Taking customer approval out of the chat

In SignFlow the designer picks which of the order's files the customer sees and sends an approval link. It goes to the email address and phone on the order; the customer needs no account and the link is valid for seven days. An approval moves the order to its next stage; a change request reaches the designer as a notification with the comment.

Until the customer answers, the order shows as waiting for the customer and the due countdown pauses. If the customer approved on the phone or in person, an authorised member approves the design on the order; that path also needs a file and records who approved.

When to switch

If you have a few jobs a week and one person follows them all, a WhatsApp group may be enough, and switching may cost you more effort than it saves.

  • You have more open jobs at once than a group can keep track of.
  • Design, production and installation are different people, each in a different group.
  • A wrong file went into production, or you could not prove an approval.
  • Finding install photos or an old job's artwork means going from phone to phone.

How to move over

  1. 1

Keep the groups, change their job

WhatsApp can stay for short messages with customers and inside the team. The rule becomes: the order's details, files and approval go into SignFlow.

  2. 2

    Enter the open jobs

Open the jobs in progress in SignFlow and attach their latest artwork. Old chats can stay on the phones as history.

  3. 3

    Invite the team

The designer, the workshop and the install crew sign in with their own accounts and see the jobs at their own stages. The install crew can handle their jobs and photos in the mobile app.

  4. 4

    Send your first approval link

Send the next design to the customer as an approval link. The help pages walk through the steps.

Frequently asked questions

Can you track orders in WhatsApp?

With few jobs and one person keeping track, yes. As jobs and the team grow, files get lost in the chat, you cannot prove which file an approval was for, and late jobs go unseen.

Do I have to stop using WhatsApp with SignFlow?

No. Keep talking to customers on WhatsApp. SignFlow replaces the chat as the record of the order, not as a chat: stage, files, approval, due date and installation live there.

Does the approval link go out over WhatsApp?

No. SignFlow sends the approval link to the customer email on the order and by SMS to its phone. The customer opens it without an account, sees the files, and approves or asks for changes.

What happens to a job's files when someone leaves?

They stay with the company, because they sit inside the order and not on that person's phone. The leaver's account is deactivated and their access ends.
